Challenge
Creating a unified platform that handles billing, inventory tracking and quotation generation without re-entering data.
Many businesses run billing in one tool, stock in a spreadsheet and quotations in a word processor. Every sale then has to be recorded twice, a quotation that becomes an order is retyped as an invoice, and stock figures are only as current as the last time someone updated them. The challenge was to create an all-in-one solution that reduces manual work, prevents errors and provides real-time financial visibility, including correct GST on every invoice. Tax mistakes are tedious to put right once an invoice has been issued, so getting the calculation right at the point of billing mattered.
Approach
We linked the three workflows through shared records. A quotation, the invoice it becomes and the stock it consumes all refer to the same items and customer, so information entered once flows through to the next step.
Financial reporting reads directly from those transactions, which means the numbers on screen are current rather than a snapshot someone prepared at the end of the month.
Tax handling was built into invoicing rather than added on afterwards: GST is calculated as the invoice is created, and customisable templates let each business issue invoices in a format that suits it.
Solution
We developed an integrated suite that connects inventory management with billing and quotation generation. Stock levels update automatically with each transaction, and financial reports are generated in real time. Because every module reads and writes the same records, a sale or a payment entered in one place is reflected everywhere it matters.
The system includes customisable invoice templates, GST calculation, payment tracking and customer account management. Quotations can be converted to invoices with a single click.
