Challenge
Developing a secure, scalable portal for managing government Annual Maintenance Contracts across multiple stakeholders.
An Annual Maintenance Contract (AMC) commits a vendor to service and maintain equipment or systems for a fixed period, and in government each contract involves several parties: the departments that own the assets, the vendors who carry out the work and the officials who approve and audit it. Government projects also require strict adherence to security protocols, accessibility standards and audit requirements. The portal needed to handle these multi-party workflows, multiple user roles and comprehensive reporting while maintaining data integrity.
Approach
We started from roles rather than screens. Each type of user sees only the contracts, requests and actions that belong to them, and every change is written to an audit log so that any record can later be traced back to who changed it and when.
The contract itself is the anchor for everything else: service requests and maintenance schedules hang off an AMC, SLA terms are tracked against it, and notifications and reports are generated from the same records instead of being compiled separately by hand.
Solution
We built a robust portal with role-based access control, secure authentication and comprehensive audit logging. The system manages AMC contracts, service requests and maintenance schedules in one place, so the status of a contract and the work carried out under it can be seen together.
The portal includes automated notifications, SLA tracking and reporting dashboards, and was designed with integration capabilities so it can exchange data with existing government systems rather than operate as an isolated island.

Contract management. AMC contracts are recorded centrally with their scope and terms, forming the reference point for all related work.
Service requests and maintenance schedules. Service requests are raised and tracked against a contract, and planned maintenance is scheduled in the same system.
SLA tracking and notifications. Service-level commitments are tracked for each contract, with automated notifications keeping stakeholders informed.
Audit logging and reporting. Every action is recorded in an audit log, and reporting dashboards summarise contracts, requests and SLA status.

AMC contracts, service requests and maintenance schedules are managed in a single portal instead of being tracked separately.
Every action is attributable to a user through the audit log, supporting the audit requirements that government work demands.
Stakeholders are notified automatically as work progresses, and SLA status can be checked on dashboards rather than assembled manually.
